Event ticket terms and conditions

Please read these terms before purchasing. By purchasing a ticket after reviewing these terms, you accept them.

1. Tickets and venue capacity

   A valid ticket is required for admission. Venue capacity is limited. If you cannot obtain a ticket, contact the organiser in advance. Any alternative arrangement is subject to available capacity and the organiser’s confirmation; contacting us does not guarantee admission.

2. Complete registration immediately after payment

   After purchasing a competitor ticket, you must immediately complete the competitor registration form on the event website. Payment alone does not activate your entry; your competition entry becomes valid only once both payment and registration are complete.

3. Photography and event promotion

   This event will be photographed and filmed. By purchasing a ticket after reviewing these terms, you agree that Three Bears Coffee Studio may use identifiable photographs and video of you captured at the event on its website and official social media channels to document this event and promote its future events.

4. Judging decisions and on site concerns

   The judges’ majority decision on artistic assessment is final and will not be reopened solely because a competitor disagrees. Recording errors, misconduct or conflicts of interest may be referred to the organiser for review. Concerns about on-site procedures, equipment or result records must be raised with staff on site, before the next round begins. Mere dissatisfaction with artistic assessment will not result in post-event rejudging or a changed result. This does not restrict rights under applicable law.

5. Absence when called

   Competitors must be ready in the designated competition area as directed by event staff. A competitor who is due to compete and remains absent after being called will be deemed to have forfeited that match and will be recorded as the loser.

6. Personal cancellation and event changes

   Please check your availability before purchasing. Tickets are non-refundable if you cancel or withdraw because of personal arrangements, scheduling conflicts or changed plans. If the event is cancelled, or a major date change prevents you from attending, you may request a refund. This does not affect any refund or other remedy required by law.

7. Changing the competitor

   Contact the organiser in advance if you wish to replace a competitor. Once the change is confirmed, the replacement must complete competitor registration. You must not transfer your place and have another person compete without confirmation.

8. Prize collection and free delivery

   Prizes may be collected at the event. If a winner does not take their prize with them, the organiser will arrange free delivery after the event once the winner provides a delivery address.

9. Equipment faults during competition

   If equipment fails during the competition, the organiser and judges will reasonably adjust the competition arrangements according to the circumstances. A replacement machine or re-run is not guaranteed in advance.

10. Safety and incident reporting

    Hot water, steam and coffee equipment are present. Follow staff instructions and operate equipment safely. Immediately notify staff of any injury, equipment damage or other incident. Responsibility will be determined according to the actual circumstances and applicable law.
